JOB SUMMARY

We are seeking a Provider Support Assistant to perform administrative responsibilities in support of one or more physician(s) and/or advanced provider(s).

JOB DUTIES AND RESPONSIBILITIES

  • Answer telephone, take and deliver messages to physicians, nurses and others. Report obtained medical information from patients and referring physicians accurately, completely and timely. Disseminate messages according to practice communication standards.

  • Schedule or arrange activities effectively; make and confirm travel arrangements as necessary; make appointments.

  • File and retrieve records in accordance with established procedures and filing systems; research lost or missing records in accordance with established procedures.

  • Perform clerical and typing tasks involved in processing varied office materials such as form letters, requisitions, memoranda, and reports or summaries.

  • Performs various appointment and access-related duties to include, but not limited to, scheduling, canceling, rescheduling, general appointment information, and directions.

  • Utilizes multiple technology applications and systems to perform scheduling tasks such as Maestro Care (Epic).

  • Coordinate services across multiple Duke Health locations, departments and providers.

  • Professionally and effectively, communicate verbally and in writing with patients, referring providers, colleagues, and Duke Providers.

  • Send and collect referrals, patient records, and other documentation as requested by provider(s).

  • Maintain OR block schedule – scheduling surgeries in Epic and IQUE.

  • Liaison between patient and surgeon for surgery related matters.

  • Provide patient and family education, how to navigate clinic and hospital and how to contact the service. Examples include: New patient information/surgery  given at time of appointment, i.e. arrival time for appointment, special instructions for appointment, parking, contact information, etc.

  • Perform other projects to improve the efficiency of clinic/patient care, such as keeping current and organized materials in the division. Examples include: Intake/History forms to be completed prior to visit.

  • Verify the accuracy of providers templates/schedule.

  • Verify provider requested schedule blocks have been processed.

  • Works closely, collaboratively, and in partnership with the Scheduling Hub, weight loss CMA, Front Desk, SAM and FCC.

  • Monitor provider schedules for a rolling 30 – day  period to ensure correctness of schedule, looking for cancellations or erroneous frozen slots, and/or to prevent gaps in schedule.

  • Must think strategically, juggle provider schedules, prioritize work and ensure that provider templates are accurate and fully utilized.

  • Provides scheduling support for creation of clinical schedule for their faculty member using Qgenda.

  • Process reimbursement for out – of – pocket expenses.

  • Manage provider calendar alongside with the CMA.

  • Schedule and coordinate meeting/teleconferences. Identify conflicts and resolves them.

  • Send invites, reminders and agenda.

  • Put out – of – town meetings on calendar.

  • Put clinic/consults/call/inpatient weeks on calendar as requested by provider.

JOB ELIGIBILITY REQUIREMENTS

  • High school diploma or equivalent education required.
  • One-year experience of clerical or general office support required.

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
